Job Overview:

We are looking for a detail-oriented, proactive, and adaptable Operations Associate to support GxSpeed's daily operations in a remote capacity. This individual will work closely with the CEO and other senior leadership, taking on key responsibilities in recruitment, employee onboarding, assisting with high-level accounting duties, and performing various operational tasks. This role offers a unique opportunity to grow into other areas of the business, including life sciences consulting, depending on skills and career interests. The position is contract-to-hire, offering flexibility with the potential for long-term growth at GxSpeed.

Key Responsibilities:

  • Recruiting & Hiring:
    • Collaborate with leadership to understand staffing needs and create job postings.
    • Screen resumes, conduct introductory interviews, and assist with hiring decisions.
    • Coordinate with candidates throughout the recruitment process, including scheduling interviews and managing communication.
  • Onboarding & Employee Support:
    • Oversee the onboarding process for new employees, ensuring they have the necessary tools, information, and training to succeed (partnering with hiring managers for optimal training and onboarding experience).
    • Act as the first point of contact for new hires, answering questions and guiding them through the onboarding process.
  • Assisting CEO & Senior Leadership:
    • Provide administrative and operational support to the CEO, including calendar management, meeting coordination, and other ad-hoc tasks.
    • Manage key operational projects and help drive the execution of business strategies.
  • Accounting & Financial Responsibilities:
    • Assist with high-level accounting tasks, such as managing invoicing and billing processes.
    • Ensure timely and accurate processing of invoices, payments, and financial reporting.
    • Liaise with external accountants and clients regarding invoicing and payment inquiries.
  • Operational Support & Process Improvement:
    • Assist with day-to-day operations, ensuring smooth workflow and efficient use of resources.
    • Own and manage the communication systems in the business, including Microsoft Teams, setting up and deleting email accounts, and maintaining company documents in One Drive.
    • Suggest and implement process improvements to increase operational efficiency and reduce costs.

Qualifications:

  • Bachelor's degree in business, operations, life sciences, or a related field; MBA preferred.
  • At least 1-2 years of experience in operations, human resources, or administrative support, ideally in a consulting or life sciences setting.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse teams and clients.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word); experience with accounting software is a plus.
  • Detail-oriented and proactive, with the ability to think critically and problem-solve.
  • Interest in growing into other areas of the business, including consulting, is a plus.
